Complete your Google Workspace custom domain setup and create all user mailboxes before migrating any mail — you need destination inboxes ready to receive the imported data.
Option 1 — Data Migration Service (built into Google Workspace): 1. In the Admin Console, go to Data Migration. 2. Select Email as the migration type and choose your source (IMAP-compatible servers, including most cPanel email). 3. Enter the source server’s IMAP connection details and credentials for each mailbox. 4. Select the date range and folders to migrate, then start the migration.
Option 2 — Manual IMAP-to-IMAP transfer (for full control or unsupported sources): Use a third-party tool (like imapsync) or configure both accounts in a desktop client (Outlook/Thunderbird) and drag-copy folders between them.
Don’t switch MX records until the migration is complete and verified — keep the old email server active in parallel so no incoming mail is lost during the transition.
Once migration is verified and all users have tested access, update your MX records to point to Google, completing the switch.
After a safe buffer period (1–2 weeks), disable or delete the old email accounts to avoid confusion and free up server resources.
